Workflow Automation

Fix the process that wastes the most time. Get the fix documented so it keeps working.

Most automation opportunities in a business are obvious once someone looks. The problem is rarely that the fix is technically complex. It is that no one has had the time to scope it properly, build it, and hand it over in a usable state. That is what this engagement covers.

What you get

  • Working automationA deployed, tested, functioning automation against the agreed scope. Not a demo. Not a prototype. Something that runs.
  • Process documentationA written description of what the automation does, what it connects to, what assumptions it makes, and what its failure modes are. Written so that a member of your team who was not involved in building it can understand and support it.
  • Maintenance guidanceWhat you need to do to keep it working: monitoring, dependency updates, credential rotation, and what to check when something breaks.
  • Handover sessionA working session with the people who will own it day-to-day. We walk through what was built, answer questions, and confirm they can operate it without us.

Typical automations include: data synchronisation between systems, automated document generation, notification and alerting workflows, approval routing, report generation, data extraction and reshaping. The scope is agreed before work begins.

Process

  1. 1

    Scoping call (30 minutes)

We identify the process, map the current state, and agree what the automation needs to do. We also establish what it does not need to do. Scope discipline matters more here than anywhere else.

  2. 2

    Scope agreement

Fixed deliverables, fixed price, defined timeline. No open-ended build.

  3. 3

    Build and test

We build against the agreed scope in an environment you can inspect. We test against the acceptance criteria we agreed.

  4. 4

    Documentation and handover

You get the working automation, the documentation, and a handover session. The work is done when you can run it independently.

When it is the right fit

You should book a scoping call if:

  • There is a specific, repeated process in your business that takes more time than it should (data entry, report generation, cross-system updates, document production) and the volume is large enough that fixing it would free up material time.
  • Your team has worked around a broken or missing integration for long enough that it has become part of the furniture.
  • You have an automation already running that nobody fully understands and that you are nervous about touching.
  • You are about to scale a process that currently works at low volume because a person manages it manually, and you need it to work at higher volume without adding headcount.
